Calendly integration

If your scheduling already lives in Calendly, you do not have to rebuild it in Kinflo. The Bookings feature supports two scheduling modes, chosen on the Settings tab of the Bookings page.

The two modes

  • Native booking (recommended) - clients book directly in your app using your session types and weekly availability. Payments run through your connected Stripe account and reminders go out automatically. This is the mode the rest of the Bookings articles describe.
  • Calendly - your Calendly page is embedded in the app instead. Clients book on Calendly's interface, and bookings sync back into your Kinflo calendar once Calendly is connected.

Only one mode is active at a time. The active card is marked with a green Active badge; click Use this on the other card to switch. Switching is instant and non-destructive, so you can trial native booking and fall back if it does not suit.

Setting up Calendly mode

  1. Open Bookings, switch to the Settings tab and select the Calendly card with Use this.
  2. Click Connect Calendly. You are sent to Calendly to authorise Kinflo, then brought straight back. Once connected, the card shows Connected - bookings sync into your calendar automatically.
  3. Paste your public page URL into the Calendly scheduling link field, for example https://calendly.com/your-name. This is the page the mobile and web apps embed for clients. It saves when you click away from the field.

What syncing gets you

With the connection in place, bookings made through your embedded Calendly page appear in the Kinflo Calendar tab alongside everything else, labelled with their source. Where Calendly gives us the invitee's email, the booking is matched to the right member automatically; bookings we cannot match to a member are flagged so you can see who they belong to. Synced sessions also feed each client's history in Clients and tasks.

Tip: even in Calendly mode it is worth filling in your Kinflo session types and availability at some point. When you are ready to take payments in-app and drop the external dependency, switching to native booking is one click.

What Calendly mode does not do

Payments, reminders and cancellation policies are handled by Calendly under its own plans and settings, not by Kinflo. Paid sessions through Stripe, automatic reminders and the pending-payment flow described in Paid bookings apply to native mode only.
