Clients and tasks

The Clients tab of the Bookings page is a lightweight CRM for the members you actively coach. Tagging someone as a client gathers their sessions, your notes and their tasks into one place.
Tag a client
- Open Bookings and switch to the Clients tab.
- Click Tag a client.
- Search your members by name or username and click the one you want.
The member appears in the clients table with their session count, last session date and a tally of open and done tasks. Tagging is invisible to the member; it is purely your organisational layer.
To remove someone, open the row's three-dot menu and choose Untag client. Their booking history is untouched; they simply leave this list.
The client drawer
Click any client row to open their drawer, which has three tabs:
Sessions
Their booking history with you: each session's type, date, time and status. This fills automatically from bookings made in the app, bookings you create manually from the Calendar tab, and synced Calendly bookings if connected.
Notes
Free-form notes with timestamps. Add a note after each session, edit or delete old ones. Notes are private to you as the coach; clients never see them, so write what is actually useful.
Tasks
Homework and action items for the client. Each task has a title and an optional due date, and can be ticked off when done or deleted. The open/done counts on the clients table come from here, so a glance at the list shows who has outstanding work.
Tip: end every session by adding the follow-up tasks while they are fresh, with due dates before the next session. The Tasks column then becomes your pre-session prep sheet.
How this connects to the rest of Bookings
- Sessions come from bookings; how clients book (and pay) is covered in Paid bookings and what they book in Session types.
- You can message any client from the Messages section of the dashboard; the clients list is deliberately about coaching structure rather than chat.
- Clients are per-coach workspace data. Untagging or deleting notes never affects the member's account, purchases or community activity.
