Publishing and drafts

Events move through four statuses: draft, published, cancelled and completed. The Events page keeps them organised with filter tabs along the top: Upcoming, Past, Drafts and Cancelled.

Saving a draft

When you create an event, the editor footer offers three buttons: Cancel, Save Draft and Publish Event.

Save Draft stores the event without members ever seeing it. Drafts live under the Drafts tab, where you can keep editing until everything, especially the price and times, is right. There is no limit to how long an event can sit in draft.

Publishing

Publish either way:

  • Click Publish Event in the editor footer, or
  • open the three-dot menu on a draft's row and choose Publish.

Publishing makes the event visible in your members' app immediately, and members are notified that a new event is live. The event then appears under the Upcoming tab with a green published pill.

Tip: because publishing notifies members, finish the cover image, description and itinerary first. Edits after publishing are fine, but the notification moment is your best attendance driver.

After the event

Published events whose end time has passed appear under the Past tab (newest first) and count as completed. Nothing to do on your side; the history, attendee list and payments remain available.

Cancelling an event

For a published event you can no longer run, open its row menu and choose Cancel event. The event moves to the Cancelled tab with a red pill and is flagged as cancelled for members. Cancelling does not automatically refund paid tickets; see Free and paid events for how refunds work.

Deleting an event

Delete on the row menu permanently removes the event and all of its RSVPs. You will be asked to confirm, and it cannot be undone. Prefer cancelling for anything members have already responded to, and keep deletion for drafts and mistakes.

List and calendar views

The toggle above the list switches between List and Calendar views. The calendar plots every event, colour-coded by status (green published, grey draft, red cancelled, teal completed) with a legend underneath, and offers Month and Week layouts. Click any calendar entry to open its editor. The list view adds search across titles and locations.
